When searching for duplicates, use search strings. You can set up search strings in the Duplicate Search String Setup window by combining the first and last characters of the following fields in the Contact table: Name, Name 2, Address, Address 2, Post Code, City, Phone No., and VAT Registration No..
To set up duplicate search strings
In the Search box, enter Marketing Setup, and then choose the related link.
On the Navigate tab, in the Setup group, choose Duplicate Search String Setup.
On the Home tab, in the New group, choose New.
In the Field field, select the field that you want the search string to be made up of.
In the Part of Field field, specify the part of the field that you want the string to be made up of.
In the Length field, enter the number of characters that you want the string to be made up of.
Repeat these steps to set up as many duplicate search strings as you want.
